PRODUCTS OR SERVICES
Because we offer such a variety of services and products to our clients, certain situations in which our treatment of information you provide to us (about you or your customers, including Nonpublic Personal Information) will differ from the above. We understand your commitment to privacy requires policies and procedures be in place to ensure data security. We realize that just as you will assess our privacy practices, you may be required to assess our security practices. We, unlike other providers, utilize Amazon Cloud Services to maintain our software and store your data, and do not host your information locally. We encourage you to review the SOC Amazon Soc 3 to understand specific controls available over your software and data. We further use encryption to secure NPI as defined in our license agreement while hosted at Amazon as an additional protection.
We manage your account access and active directory using a windows server on AWS, providing a well-respected and controlled portal to manage users, password resets, and general access to the software. We further employ device authorization controls such as IP blocking to help prevent access from outside your authorized group on top of the controls Microsoft implements. Please visit AWS for more details on their controls at the link below. We utilize both vendors to segregate your data, lower the cost of the service we provide, and to utilize future technologies and the expertise of these major service providers. We have added layers of protection such as at rest/transit encryption above and beyond the controls found in AWS to further protect you or your client’s data.
We will safeguard information according to established security standards and procedures if under our control, and will on an ongoing basis assess new technology designed to protect your information. Data involving Nonpublic Personal Information of your customers adhere to our disclosed safeguards and depend on your contract. We always seek to provide the following:
- Protect against unauthorized access to or use of such information that could result in substantial harm or inconvenience to the owner of any such information.
- Ensure the security and confidentiality of Nonpublic Personal Information in our possession.
- Protect against any anticipated threats or hazards to the security or integrity of such information.
We have implemented procedures that limit access to Nonpublic Personal Information to only those staff, owners, developers, or related parties with a business reason to obtain such information. We are professionals in the industry with our developer engaged in IT security reviews on an ongoing basis. All of our staff or future staff will be educated about the importance of confidentiality and customer privacy through operating procedures, ongoing meetings, and our internal policies. We take reasonable disciplinary measures to enforce privacy responsibilities. We further complete confidentiality agreements, background, and credit checks on all staff to adequately vet those who may come in contact with your data.
We require all staff to use approved devices only to perform service requests, require encryption, antivirus, and other commercially acceptable IT controls. We will not have direct access to your network unless specifically provided for in our agreement with you. We may remotely login to your online portal or branch to perform support if requested or to perform upgrades.
